Welcome to Project Flow’s Legal Terms & Conditions.
Before actual coaching begins, we aim for clarity & transparency, having created these legal provisions with the aim to be understandable, navigable and practical for you.
These Terms govern your access and use of the Project Flow website, available at projectflow.to (the “Website”), and your purchase or use of any products, services, coaching, consultancy, assessments, reports, programmes or other offerings and communication forms made available through the Website (collectively, the “Services”).
The Website and Services are operated by Project Flow Sole Proprietorship (Mrs Sotiria Bouza), organized and existing under the laws of Greece, registered in GEMI with the number 180702703000, with office at Themistokleous 0 street, Markopoulo Mesogaias, Attica, 19003 and with TIN number no 144443893, Kefode Attikis (“Project Flow”, “we”, “us” or “our”).
By accessing the Website, submitting information through it, purchasing a Service, joining a waiting list, creating an account, or otherwise using the Services, you agree to these Terms. If you’re not on board with these Terms of Use, we kindly ask you to refrain from using our Website and Services.
Kindly note that we may amend these Terms from time to time in our sole discretion. The updated version will be published on the Website with a revised “Last updated” date. Where applicable law requires additional notice or consent for a material change, we will provide that notice or obtain that consent. Your continued use of the Website after an updated version becomes effective constitutes acceptance of the updated Terms to the extent permitted by law.
You agree that by using our Services you are legally able to enter into an agreement. If you are purchasing or engaging with Project Flow on behalf of a company, organisation or other legal entity, you confirm that you have authority to bind that entity to these Terms and any applicable services agreement.
The Website provides information about Project Flow, its methodology and Services. These Terms apply to you when visiting the Project Flow Website including extensions and subdomains. They are also applicable for all content, information, or materials created, offered, published, or distributed by us. This includes, without limitation, the Website, articles, newsletters, on-demand videos and courses, webinars, events, reports, tests and other documents.
We aim to keep the information on the Website accurate and current. However, we do not guarantee that every description, statement, price, availability indication or other information will always be complete, accurate, current or error-free. We may update, modify, suspend or discontinue any part of the Website at any time.
The Website and Services may rely on or link to third-party services, platforms or websites, including payment processors, communication tools, scheduling platforms, hosting providers and other technology providers. Project Flow does not control third-party services and is not responsible for their availability, content, security, policies or practices. Your use of third-party services may be subject to separate terms and privacy policies. The Website also contains links to websites maintained by third parties and the content of which we may not be aware of. Links to third-party websites are only for the convenience of navigation. Project Flow assumes no liability for the content of third-party websites.
Project Flow provides project-management consultancy, strategic coaching and related professional services to individuals or legal entities. The Services may include, depending on the engagement:
• individual coaching;
• team coaching;
• departmental coaching;
• project-management consultancy;
• strategic project support;
• assessments and personalized reports;
• the Calling Card;
• programs or “seasons” of coaching or consultancy;
• the Flow Play™ methodology;
• workshops, meetings and other professional services; and
• educational or informational content, trainings and courses.
The exact scope, duration, deliverables and fees of a particular professional engagement may be agreed separately between Project Flow and the client.
Project Flow's Services, as described above, are professional consultancy and coaching services designed around the circumstances, people and objectives of each engagement.
The Services are not intended to provide legal, tax, accounting, medical, psychological, investment or other regulated professional advice unless expressly stated otherwise in a separate written agreement.
For longer-term consultancy or coaching engagements, Project Flow may provide a separate proposal, statement of work, engagement letter or other written agreement. Where such an agreement exists, it will form part of the contractual relationship between the parties, and this agreement will prevail over these Terms.
To the maximum extent permitted by law, Project Flow will not be liable for indirect, incidental, special, consequential or unforeseeable losses arising from your use of the Website or Services, including loss of profits, revenue, business opportunities, reputation or data, except where such liability cannot lawfully be excluded.
Project Flow's total liability arising from a particular paid Service will, to the maximum extent permitted by law, be limited to the amount actually paid by you for that Service during the relevant period.
The Calling Card is Project Flow's self-reflection and personalized report intended to help identify how an individual operates, communicates and collaborates.
The Calling Card may involve:
- completion of a questionnaire;
- analysis of the information provided;
- preparation of a personalized report; and/or
- a discussion or meeting concerning the report.
The precise contents and delivery process may change over time.
*The Calling Card is intended as a coaching and professional-development tool. It is not a medical, psychological, psychometric, psychiatric, employment or other regulated diagnostic assessment and should not be treated as such.
Where a Calling Card is purchased online, the applicable price, taxes (where applicable), delivery information will be displayed during the purchase process. By placing your order, you expressly ask us to begin preparing your Calling Card straight away. You acknowledge that once your personalized report has been completed the service is fully provided. From that point, the right of withdrawal no longer applies and no cancellation or refund is possible. This provision does not affect your legal rights as a consumer, including your rights if the service is not provided as described.
The Flow Play™ is Project Flow's methodology for supporting individuals, teams and departments through projects. We have developed specific stages, methodology, materials and concepts to support you, which we may modify, rename or expand over time at our own discretion. The purchase or use of a Service does not transfer ownership of the Flow Play™, its underlying methodology, frameworks, processes, materials or intellectual property to you.
Fees for Services will be communicated to you before you are required to purchase or commit to the relevant Service. For online purchases, the price displayed at the time of purchase will apply, subject to any obvious pricing error. We reserve the right to change prices and alter or remove any special offers from time to time and as necessary. If, for any reason, we do not accept your order, no payment shall be taken under normal circumstances. In any event, any sums paid by you in relation to that order will be refunded as per the applicable process of your bank.
Unless otherwise stated:
• prices are stated in euros (€);
• applicable taxes will be identified during the purchasing process where required;
• payment must be made using the payment method made available by Project Flow;
• Project Flow may use third-party payment providers to process payments; and
• a payment may be declined or reversed by the relevant payment provider for reasons outside Project Flow's control.
For longer-term consultancy or coaching engagements, payment schedules may be agreed separately in writing.
The following methods of payment are currently accepted:
Project Flow does not process or store any credit card information. All credit card transactions are performed through the secure platform of our payment service providers.
Paying via Iris is free of charge. Payment can be concluded through your e-banking by using our professional TIN number. Be sure to include a dedicated justification with your name.
If you purchase Services as a consumer, you have all rights under Greek and European consumer-protection law, including, where applicable, rights related to distance contracts, withdrawal, refunds and defective or improperly supplied Services. Nothing in these Terms is intended to exclude or restrict any mandatory legal rights that cannot lawfully be excluded or restricted.
Where a Service includes meetings, coaching sessions, workshops or consultations, you agree to attend at the agreed time and to provide reasonable cooperation and information necessary for Project Flow to provide the Service.
You are responsible for:
• providing information that is accurate and not misleading;
• completing agreed questionnaires or preparation;
• attending scheduled sessions;
• ensuring that relevant team members participate where appropriate;
• making decisions within your organisation;
Project Flow is not responsible for delays or reduced effectiveness caused by incomplete, inaccurate or delayed information, lack of participation, failure to attend sessions, or circumstances within the client's control.
The cancellation and rescheduling rules applicable to a particular Service will be communicated to you before or at the time of booking. Where a session is cancelled or rescheduled within a period specified in the applicable booking or engagement terms, Project Flow may charge the applicable cancellation fee or treat the session as used. Project Flow may waive such fees at its discretion. If Project Flow needs to cancel or reschedule a session, we will make reasonable efforts to offer an alternative date or otherwise address the affected booking.
You retain ownership of information, documents, materials and other content that you provide to Project Flow (“Client Materials”). You grant Project Flow the limited right to use Client Materials solely to the extent reasonably necessary to provide the agreed Services. You represent that you have the necessary rights and permissions to provide those materials to Project Flow and authorize their use for the purposes of the engagement. You should not provide Project Flow with confidential information or personal data belonging to a third party unless you are authorized to do so.
You may use materials supplied to you as part of a Service solely for your own personal or internal business purposes and in accordance with the applicable engagement.

• providing accurate information;
• keeping your login credentials confidential;
• maintaining the security of your account;
• notifying us if you believe your account has been compromised; and
• all activity carried out through your account, subject to applicable law.
You must not allow another person to use your account where doing so is prohibited by the applicable Service. Project Flow may suspend or terminate an account where reasonably necessary to protect the Website, its users, Project Flow or its rights, indicatively for fraud cases.
You must not use the Website or Services:
• for an unlawful purpose;
• to infringe the rights of another person;
• to gain unauthorized access to systems or accounts;
• to introduce malware or other harmful code;
• to interfere with the operation or security of the Website;
• to impersonate another person or organisation;
• to collect personal information about others without appropriate authority;
• to reproduce or commercially exploit Project Flow materials without permission;
• to use Project Flow materials to create a competing service without permission; or
• in any manner that could reasonably damage Project Flow or its reputation.
We may restrict or terminate access where we reasonably believe these rules have been breached.
Unless otherwise stated, the Website and all materials made available through Project Flow, including text, graphics, reports, frameworks, methodologies, templates, presentations, videos, audio, logos, trademarks, designs, software, documents and other content,
are owned by or licensed to Project Flow. This includes, without limitation, the Project Flow name, branding and the Flow Play™ methodology and associated materials.
You may not, without our prior written permission:
• reproduce or republish Project Flow materials;
• sell, license or commercially exploit them;
• distribute them to third parties;
• create derivative works from them;
• use them to create or provide a competing service;

Project Flow will treat confidential business, personal and project information disclosed to us in connection with a professional engagement as confidential and will use it only as reasonably necessary to provide the Services, subject to applicable law. You likewise agree not to disclose or misuse Project Flow's confidential information, including non-public methodology, commercial information and proprietary materials.
Confidentiality obligations do not apply to information that:
• is publicly available through no breach of these Terms;
• was already lawfully known to the receiving party;
• is independently developed without use of the confidential information; or
• must be disclosed by law, court order or regulatory authority.
Where a separate confidentiality or non-disclosure agreement is signed with the User/Client, that agreement will govern the relevant confidential information.
Project Flow may collect and process personal information when you use the Website or Services. Our processing of personal data is described in our Privacy Policy and, where applicable, our Cookie Policy. You should review those documents before using the Website or providing personal information. Where Project Flow processes personal data on behalf of a client as a processor, the parties may enter into an appropriate data-processing agreement where required by applicable data-protection law. Project Flow will handle personal data in accordance with applicable data-protection legislation, including the General Data Protection Regulation (EU) 2016/679 (“GDPR”).
- TESTIMONIALS & FEEDBACK: If you voluntarily provide feedback, comments, testimonials or suggestions concerning Project Flow, you grant Project Flow permission to use that material for legitimate business and promotional purposes, subject to any restrictions you have expressly communicated and applicable law. Feedback or suggestions about the Services may be used by Project Flow to improve its methodology, Website and Services without creating any ownership interest in those improvements for the person providing the feedback.
- FORCE MAJEURE: Project Flow will not be responsible for failure or delay in performing its obligations where the failure or delay results from circumstances beyond its reasonable control. Such circumstances may include natural disasters, serious technical failures, telecommunications failures, cyber incidents, war, civil unrest, governmental action, strikes, pandemics or other events that could not reasonably have been prevented or overcome.
- SUSPENSION & TERMINATION: Project Flow may suspend or terminate your access to the Website or a Service where: you materially breach these Terms; you fail to pay amounts due; continued provision of the Service would be unlawful; your conduct creates a material risk to Project Flow or another person; or the relevant Service is discontinued. Termination does not affect rights or obligations that accrued before termination. Provisions concerning intellectual property, confidentiality, payment obligations, limitations of liability and other provisions intended by their nature to survive termination will continue to apply.
- GOVERNING LAW: These Terms are governed by the laws of Greece, without prejudice to any mandatory consumer-protection rights that apply to you under the law of the country in which you ordinarily reside. Any dispute that cannot be resolved amicably will be subject to the jurisdiction of the courts of Greece. For disputes involving a business customer, the parties may agree in a separate written engagement different competent courts and jurisdiction.
If any provision of these Terms is found to be invalid, unlawful or unenforceable, that provision will be interpreted or modified to the minimum extent necessary to make it enforceable where legally possible. The remaining provisions will continue in full force and effect. A failure or delay by Project Flow to enforce any provision of these Terms does not constitute a waiver of that provision or of Project Flow's right to enforce it later.
These Terms, together with any applicable offer, proposal, statement of work, engagement agreement, Privacy Policy, Cookie Policy and other documents expressly incorporated into the relevant Service Agreement, constitute the agreement governing your use of the Website and Services.
